Custom Values Setup

All 18 required custom values must be filled before publishing any workflow. Fill in order. Do not skip.

Where To Find Custom Values In GHL

  1. Switch into the contractor's sub-account
  2. Go to Settings in the left sidebar
  3. Click Custom Values
  4. Click the pencil icon next to each value to edit
  5. Save after every entry — GHL does not auto-save
Rule: Do not leave any value blank before publishing workflows. A blank custom value sends an empty field to a real lead's SMS or email. If the real value isn't available yet, enter a clear placeholder like "PENDING" and flag it to resolve before going live.

What To Enter
The contractor's public-facing business name exactly as they want it to appear to customers.

Where To Get It
Client intake form or intake call. Use the name on their Google Business Profile if unsure.

Logo URL used in email headers and branded communications
● Pending
What To Enter
A direct URL to the contractor's logo file. Must be a public-facing hosted image link ending in .png, .jpg, or .svg.

Where To Get It
Upload the logo to GHL Media Storage and copy the direct image URL. Do not use a Google Drive link — it will not render in email.

brand_color
Hex color used in email templates and branded touchpoints

What To Enter
The contractor's primary brand color as a hex code, including the # symbol.
e.g. #1A3F6F, #E87E20, #CC0000
Where To Get It
Ask the client directly, pull from their website with a color picker, or check their existing materials. If unknown, use #1A3F6F as a neutral default and flag for update.

The dedicated GHL business line assigned to this sub-account

What To Enter
The dedicated phone number provisioned in GHL for this sub-account. This is not the contractor's personal number.

Where To Get It
GHL → Settings → Phone Numbers → the number assigned during sub-account setup. Fill after the number is provisioned in Step 5 of the Snapshot Deployment Guide.

The sending email address for all outbound client communications

What To Enter
The verified sending email configured in this sub-account. This is what customers see in the From field of every email.
Where To Get It
GHL → Settings → Email Services → confirmed verified sending address. Must be verified before entering here. Do not use a Gmail address.

The contractor's main website URL used in email footers and messages

What To Enter
The full URL of the contractor's website. Enter without https:// — the email template adds it automatically. If you include https:// the link will break.

Client intake form. Verify the URL loads before entering. If no website exists, use the GBP URL and flag for a future website conversation.

The contractor's trade — used to personalize message copy throughout workflows

What To Enter
Single word or short phrase describing what they do. Lowercase. This appears inline in SMS and email copy.
e.g. electrical, plumbing, HVAC, roofing, landscaping
Where To Get It
Client intake. Match how they describe themselves — if they say "electrician" enter "electrical" so it reads naturally in sentences.

The direct URL to the estimate booking calendar — sent to leads in follow-up messages

What To Enter
The direct booking link for the Estimate Calendar configured in this sub-account. Test the link before entering — confirm it loads and shows availability.

Where To Get It
GHL → Calendars → open the Estimate Booking Calendar → Share → copy the booking link. Complete Step 4 of the Snapshot Deployment Guide first.

The direct Google review link for this contractor's Google Business Profile. Must take the customer directly to the review box — not the profile page.

Where To Get It
Google Business Profile → Home → Get more reviews → copy the short review link. Test the link on a mobile device before entering.

The phone number that receives internal SMS alerts — new callbacks, reminders, and other internal notifications

What To Enter
The contractor's personal or office number that actively monitors notifications. This is NOT the dedicated GHL business line.

Where To Get It
Ask the client directly during intake — "What number should receive internal alerts when a new callback or lead comes in?" Confirm they actively monitor it.

The email address that receives internal email alerts — new estimate bookings and other internal email notifications

What To Enter
The contractor's personal or office email that actively monitors notifications. This is NOT the sending email address.
Where To Get It
Ask the client during intake — "What email should receive internal alerts when a new estimate is booked?" Confirm they check it regularly.

The first name of the contractor or business owner — used in the immediate lead follow-up SMS for a personal first impression

What To Enter
First name only. This appears inline in SMS copy — "this is Mike with Brunswick Electric" — so it must match exactly how the owner refers to themselves.
e.g. Mike, Ken, Dave
Where To Get It
Client intake — ask the owner what first name they want to use in customer-facing messages. Use the name their customers already know them by.

The URL for the contractor's callback calendar — used in the Callback Booking workflow

The contractor's specific callback calendar URL. This is NOT the estimate booking link — it's a separate calendar for scheduled callbacks only.

Client intake form or intake call. Confirm the exact hours the contractor wants displayed to customers — may differ from actual working hours.

Plain readable text. Be specific enough that a customer understands whether they're in the service area.
